The HKU Faculty of Social Sciences runs busy shared spaces — study rooms, hot-desks and event venues — that students and staff need to book quickly and fairly. We built a complete facility-booking platform spanning a public booking frontend, an administrative console, a backend API and an on-site kiosk display. It handles the whole reservation lifecycle, from picking a seat on a live floor plan to payment terms, auto-approval rules and utilisation reporting — and it has become the Faculty’s go-to system, shipped on a steady weekly release rhythm.

Book a room, or pick a seat on the floor plan

Users reserve a whole room or choose an individual seat directly on an interactive, zoomable floor plan that shows what’s available, partially booked or taken in real time — so booking is as simple as pointing at the space you want.

One platform, four moving parts

A public booking frontend for users, an admin console for the Faculty team, a backend API tying it all together, and an on-site kiosk display for signage — each independent, yet working as one system.

Rules that run themselves

Configurable payment terms, auto-approval rules and resource adjustments let the Faculty set policy once and let the system enforce it — approvals happen automatically when criteria are met, freeing staff from manual checking.

Insight into how spaces are used

Built-in utilisation reporting shows the Faculty which rooms and seats are in demand and when — turning booking data into planning intelligence.

The Faculty’s go-to booking system

Adopted across the Faculty and improved on a weekly UAT-and-release rhythm, the system keeps shared spaces fairly allocated and fully booked — with far less administrative overhead.
